Retention should serve a purpose
Personal data should not be stored indefinitely. The organization should define how long transcript evidence is genuinely needed for review, audit or later verification and document that choice.
Two different retention layers
- Transcript evidence: raw conversational context, subject to plan and policy retention.
- Reviewed meeting memory: approved decisions, actions and topics that can remain useful after transcript evidence expires.
Deleting transcript evidence should not silently erase the approved organizational record.
Operational controls
- Automated jobs apply transcript expiry rules.
- Re-analysis may no longer be possible once the transcript expires.
- AI Search can only use transcript evidence that remains available to the workspace.
- Meeting deletion follows authorization and audit requirements.
