Meeting transcription checklist

A before, during and after checklist for teams using transcripts as organizational memory.

Before

  • Document the purpose and lawful basis.
  • Check whether the meeting contains sensitive or restricted information.
  • Inform participants and provide the complete privacy information.
  • Confirm the approved transcription platform, workspace and retention period.
  • Prepare an alternative if transcription is challenged.

During

  • Give a short spoken reminder.
  • Pause transcription for unrelated or especially sensitive discussion.
  • Avoid reading passwords, secrets or unnecessary personal details aloud.
  • Record objections or agreed restrictions.

After

  • Upload only the intended transcript to the correct workspace.
  • Review, edit or reject extracted items before confirmation.
  • Limit sharing to authorized recipients.
  • Verify the retention date and delete unnecessary copies.
  • Escalate rights requests, incidents or unexpected sensitive data.
